Start with what the team is taking on
A stage label is not a complete brief. Before appointing design support, describe the work already done, the duties being transferred and the outputs your team needs next. A drawing set may look substantial while leaving important decisions unresolved.
Supply the employer’s requirements, available design basis, latest drawings, schedules and relevant specifications. Identify the issue status and explain which information the contractor is expected to develop. Keep superseded information separate.
Agree deliverables and interfaces
List the information needed for procurement, coordination, installation and technical review. For each item, agree who prepares it, who provides inputs and when a decision is needed.

Ask the team to identify the decisions holding up the programme. A short, current list of unresolved questions can be more useful at the first meeting than an unfiltered document archive.
Prepare a useful first enquiry
